How national tools and jurisdictions fit together
National core: Most FieldScout tools have a common workflow across jurisdictions. Their primary chapters explain those shared steps.
Jurisdiction-specific material: ScopeBook entries, WAP Chat approved sources, funding catalogs, and planning source/authority requirements depend on the authorized jurisdiction. The tool's interface may be national even when its available content differs.
Assessment Check: Paste the completed assessment requested by the page, then review its recognized information and findings. The account's jurisdiction determines the input and maintained checks; one jurisdiction's export instructions or rules do not apply to another.
Available tools and guidance: Open a tool through your signed-in account to see the content available for your jurisdiction.

1. Welcome to FieldScout
FieldScout brings your Weatherization references, equipment lookups, sketches, calculations, and field notes together. Use one tool or use them all.
A Job is the address container for all saved information and tool results. Field Visit is the onsite walkthrough; a named saved Field Visit belongs inside that Job alongside the other results.
There is no single required tool sequence. Choose the tool that fits the task you need to complete. Some tools can be used immediately without opening a Job. Others, such as Field Visit, are designed to operate within a Job.
Two terms to know:
- Tools is the main directory of FieldScout capabilities.
- Job keeps the saved work for one address together. Within your account, use the same Job for that street address and city.
After you log in
- Complete any account or agency setup displayed on your first visit. If you received a setup email, follow its link and use the username supplied in that email when you log in.
- Open Tools, the normal landing page after login.
- Choose a tool from the directory. You do not need to begin with Field Visit.
- To keep a result, use the tool's Save to Job controls, when offered. You can also start by creating or opening a Job.
- Open Jobs or Agency Jobs from navigation to revisit work saved for an address.
An Individual account sees Jobs. An Agency account sees Agency Jobs, shared with its active, approved staff. Agency Leads also manage their agency's users and account setup.
Working without a Job means you can use a tool before choosing where to save its result. Field Visit starts with a Job; WAP Chat has no Save to Job action.
Availability: Your account's jurisdiction governs certain sources, guidance, and tool availability. If ScopeBook or WAP Chat is not available for your assigned jurisdiction, do not assume guidance from another jurisdiction applies.

2. Jobs: organizing saved work
Open in FieldScout: Open Jobs / Agency Jobs · All Field Tools · Back to table of contents
A Job holds all saved information and tool results for one address. Field Visit is the onsite walkthrough; a named saved Field Visit belongs inside that Job alongside calculations, equipment records, drawings, and assessment reports. You can use most FieldScout tools before choosing a Job; Field Visit starts with a Job.
National core: Jobs organize saved tool work the same way across the FieldScout platform. Agency permissions and account policies still govern who may view or update a Job.
2.1 Create a Job
- Select Jobs or Agency Jobs in navigation, then Start a new Job.
- Enter the service street address, city, and ZIP code (five digits or ZIP+4). Add county where offered.
- Select Home type: site-built single-family, manufactured home, or multifamily.
- Check the address and home type, then select Create Job. Field Visit has its own address confirmation step, labeled Confirm & Start Field Visit.
- Return to the Job to see available tools and any Saved results.
The home type is a consequential selection because it determines the appropriate Field Visit pathways and is fixed after creation. Verify it before confirming. The authorized account supplies the jurisdiction; do not assume an address overrides it.
If FieldScout says there is already a Job for this address, choose that address from the offered dropdown and open it. Save later visits and additional tool results to the same Job.
2.2 Find a Job and reopen previous work
- Open Agency Jobs for an Agency account or Jobs for an Individual account. Recent addresses shows up to 100 recently updated active Jobs.
- Use Find an address to search by street address or city. Agency users can also search by assigned staff. Choose a Status when needed, then select Search Jobs. Use Clear search to return to recent addresses.
- Choose Open saved results for this address beside the matching address.
- In Saved results, use Find a saved result to filter by item name or tool, then open the result you need. Saved dates help distinguish earlier work. Reopening a result does not necessarily recalculate it using today's measurements or sources.
The Job page keeps Saved results near the top. Open More tools above the results to choose Site Sketch, Assessment Check, Calculators, Funding, or the available Planning tools for the same address. Field Visit has its own link and is optional. Expand Property details and shared tool inputs only when you need to review or update those values.
New tool saves update the Job's Last update date and its position in the recent list. Opening a Job or reopening a result does not change that date. Older work may retain the Job's previous date until another change or save is confirmed.
Agency accounts can access agency-shared Jobs as permitted for active staff; individual accounts have their own records. A Job may contain multiple named sketches or saved tool results. Keep those names descriptive, such as Existing conditions — north addition, rather than entering unrelated personal information.
2.3 Save from a standalone tool
Many results can be created before a Job is chosen. Saving is optional.
- Complete the lookup or worksheet, then expand Save to Job below the result or use the tool-specific save control.
- Enter a descriptive Item name.
- Under Job address, choose the existing address. Use Find another saved Job if it is not in the recent list. If no Job exists for that address, choose Save to new Job and enter the required street address, city, ZIP code, and home type.
- Select Save and wait for the confirmation naming the address. Reopen the named item from the Job when you need it again.
Work opened from an existing Job stays with that Job. Check the displayed address before saving. Opening the save controls or selecting an address alone does not save the result.
Different actions preserve different things. HVAC Age Finder and appliance lookup preserve equipment evidence; calculators preserve the entered values and result; ScopeBook bookmarks refer to the current entry; Site Sketch keeps an editable drawing with saved versions; Assessment Check reports and reviewed Job imports are separate actions. WAP Chat has no Save to Job button. Refer to the relevant chapter for details.
2.4 Understand save and source boundaries
- Unsaved on screen is not saved to Job. Do not navigate away until a save or sync is confirmed.
- Saving a result keeps that tool's record. It does not automatically replace the Job's recorded property facts; Assessment Check has a separate review-and-save step for those updates.
- Some records represent a historical result, while others intentionally reopen a current maintained reference. The tool chapter identifies which.
- If a Job or result changed in another session, follow the displayed instructions and review the latest saved work before retrying.
- Keep required exports in your approved records. When no further work is needed, you can choose Delete Job and confirm permanent deletion. Printing or downloading never deletes a Job automatically.
Try it: Create a clearly labeled training Job, run a Building Science Calculator, save it with a unique item name, then reopen the result from that Job. Use only approved non-customer example data for training.
3. HVAC Age Finder
Open in FieldScout: Launch HVAC Age Finder · All Field Tools · Back to table of contents
Purpose: Find manufacture dates and ages for heating and cooling equipment and water heaters using the brand and serial number on the nameplate. Get the manufacture date or production period, age, and result details for your equipment documentation.
| Equipment group | Product types |
|---|---|
| Heating | Furnaces, direct-vent furnaces, unit heaters, boilers, and combi-boilers |
| Air conditioning and heat pumps | Central air conditioners, room/window air conditioners, heat pumps, mini-splits, and geothermal heat pumps |
| Water heating | Tank, tankless, and heat-pump water heaters |
| Air handling and packaged systems | Air handlers, packaged HVAC units, rooftop units, and wall-mount HVAC units |
Available across jurisdictions: Use the tool on its own or save the result to a Job.
3.1 Quick Start
- Open Tools > HVAC Age Finder.
- Choose a Common brands button above the fields, or select the nameplate brand from All brands (A–Z). The dropdown includes less common and older names. A common-brand button moves keyboard focus directly to Product type.
- Select the Product type if you know it, and enter MODEL # when available. Complete any additional equipment details requested by the page before continuing.
- Enter SERIAL # from the equipment plate. This is required.
- Select Check age or press Enter in an entry field. Wait for the lookup to finish.
- Read Manufactured, Age, and Confidence.
- Read any notes or limitations. Open Brand guidance and references, then Source basis, when shown, to see supporting references.
- To keep the result, choose Save to Job and name the record.
Field tip: Copy the complete manufacturer, model, and serial from the actual nameplate. Do not substitute details from similar equipment.
3.2 Read notices and references
Read any notice asking for more equipment details or manufacturer confirmation. If the result remains uncertain, keep that uncertainty in your field record.
Source basis, when available inside Brand guidance and references, lists supporting references and their review status. Check those references when a result requires verification.
The Example lookups buttons below the entry fields let you try Carrier, Goodman, Rheem, York, Lennox, and Trane examples. Selecting one fills the fields and runs an Example preview. Examples are not saved and are not observations from the home. Replace the example details with the actual equipment details before making a field lookup. Try example in brand guidance has the same practice-only behavior.
3.3 Understand the Result
Look at the Manufactured, Age, and Confidence fields together, then read the notes.
- Production week and year: Record the displayed week and year without adding an exact calendar day. Age is approximate; a week that spans two months may show an age range.
- Month and year: Age is shown in years and months as of the lookup. An exact manufacture day is not needed.
- Year only: Keep the precision shown. Do not turn a year-only result into a specific manufacture date.
- Possible manufacture years: Keep the displayed alternatives until reliable equipment records or manufacturer confirmation resolve them.
- No defensible date: Record the date as undetermined instead of guessing.
- Review required / low confidence: Read the limitations and expand Source basis when shown. Verify against the manufacturer or another reliable equipment record where necessary.
An estimated age is only as certain as the underlying date evidence. It is not a measured condition assessment, remaining-life estimate, or automatic reason to replace equipment.
3.4 Save and Reopen Equipment Evidence
A normal Check age lookup does not attach the result to a Job automatically.
- Under the result, open Save to Job.
- Provide a descriptive Item name (for example, Existing furnace — basement).
- Select the authorized Job address or choose Save to new Job and enter its required details.
- Select Save and confirm the success message.
- Later, open Jobs / Agency Jobs, select that address, and reopen its saved HVAC result.
The saved result includes the equipment details and available review notes. Age at lookup stays tied to the original lookup date when you reopen or export it; run a new lookup if you need an updated age. View saved HVAC records takes you to Jobs; it is not a separate list of every unsaved lookup.
3.5 Short Field Example
You are documenting an existing air conditioner during a weatherization visit. Read the nameplate, select the brand and air-conditioner product type, and enter its complete model and serial. Choose Check age. If the result provides a supported production year, record that year and confidence. If it shows two possible years, keep both and note that the date needs verification. Save the result to the correct Job with an equipment-specific name.
Use the result alongside physical condition, diagnostics, capacity and efficiency evidence, and applicable program requirements—never as the sole repair-or-replacement decision.
3.6 Common Problems
| Problem | What to check |
|---|---|
| Choose a brand before checking age | Select the actual brand; clear a mismatched brand choice. |
| Serial number is required | Re-enter the nameplate serial, checking characters that can be confused. |
| Product type is required | Choose the type shown on the equipment nameplate. |
| Model is required | Enter the complete model from the nameplate. |
| No date or multiple years | Read the result's limitations and seek manufacturer confirmation. Do not force a single year. |
| Decoding unavailable | Contact the manufacturer with the full model and serial, or consult reliable equipment records. |
| Result not in Job | Open Save to Job on the result and confirm the address, record name, and save status. |
| Lookup could not finish | Keep the entered details, check your connection, and try Check age again. Wait for a result before saving to a Job. |
| Session expired | Sign in again before repeating the lookup or saving a review. Your entries stay on the open page; keep them before refreshing or navigating away. |
| Lookup changed while saving | Select Check age again to reload the saved lookup. |
Data boundary: HVAC Age Finder accepts manually entered equipment details. Do not upload customer nameplate photographs or assume the tool extracts serial numbers from images.
4. Refrigerator / Freezer Lookup
Open in FieldScout: Open Refrigerator / Freezer Lookup · All Field Tools · Back to table of contents
Purpose: Find a refrigerator or freezer's reference-year energy rating and capacity by model. Add the serial number to look up its manufacture date and age alongside the model information.
Available across jurisdictions: Use the lookup on its own or save a named equipment record to a Job. The result separates model energy information from the unit's manufacture date.
4.1 Quick Start
- Open Refrigerator / Freezer Lookup. Choose the nameplate brand from Common brands, or open All brands (A–Z) for the alphabetical list. You can type a brand’s first letters while the dropdown is focused.
- Enter the complete model number in MODEL # to look up energy use. Include suffixes or configuration information shown on the plate.
- If you have the serial number and need manufacture-date information, add it to SERIAL # (optional).
- Use Type to narrow refrigerator versus freezer results as needed.
- Leave Reference year, optional set to All reference years, or choose a listed year to narrow the model results. It is not a requested manufacture-year filter.
- Select Look up appliance. Review the returned model candidates, style, listed capacity, reference year, annual kWh/year, and source details.
- To keep the lookup, expand Save to Job, enter an Item name, choose the saved address or Save to new Job, and select Save. Reopen it from the Job's Saved results.
Use Example models only to practice the interface. Actual field decisions require the appliance's own identifying details.
4.2 Read the two result types correctly
| Part of the result | What it tells you | What it does not tell you |
|---|---|---|
| Model energy match | Source-listed configuration, capacity, reference year and annual electricity use, when supported | The exact manufacture date of the appliance in front of you |
| Serial manufacture date | A manufacture date or production period, when available for the entered equipment details | That a model-energy listing matches the appliance |
| Reference year | The year associated with the source's model/energy listing | The year the unit was necessarily built |
When the manufacture month and year are available, the serial result also shows Age at lookup in years and months. A supported production week shows an approximate age. Saved results retain that age as of the original lookup. If several manufacture years are possible, the result keeps those alternatives instead of choosing an age.
A serial result can appear even when there is no strong energy-model match. Do not copy a kWh/year value from a loosely similar model. Expand Source and model details and review the manufacturer/model context before documenting any estimate. Record capacity exactly as the source labels it, rather than assuming all values represent the same measurement.
4.3 History, saving, and common problems
View history opens recent lookup records. View saved lookups opens Jobs so you can find a named result for an address. If the result says lookup history was not saved, the answer may still be visible, but that attempt cannot be saved to a Job; retry when storage is available. Viewing a result or finding it in History does not attach it to a Job.
| Problem | Check |
|---|---|
| Model required | Enter the complete model; a serial alone does not establish rated kWh/year. |
| No strong model match | Recheck the full model including suffix and configuration; do not borrow an unrelated unit's result. |
| Several matches | Compare style, capacity, type, reference year, and source details. |
| Manufacture date unavailable | Recheck the nameplate, read the result's limitations, and seek manufacturer confirmation when needed. |
| No saved result in Job | Verify History was available, then check the named Save to Job confirmation and destination. |
Field example: A refrigerator nameplate gives a complete model and serial. First match the model for source-listed kWh/year; then separately interpret the serial for a manufacture period. Document which evidence supports which conclusion, and leave any unsupported part unresolved.
5. Site Sketch
Open in FieldScout: Launch Site Sketch · All Field Tools · Back to table of contents
Purpose: Make an editable, practical field sketch of a building or relevant floor: wall segments, openings, bypasses, mechanical-equipment locations, orientation, and supporting notes. You can draw directly, work from a Field Visit, or continue a sketch generated from recognized Assessment Check geometry.
National core: Drawing and saving work in Site Sketch are common FieldScout workflows; local programs decide how sketches are used in their official records.
5.1 Quick start
- Open Site Sketch from Tools or from the Job’s address. A new blank sketch starts on 1st Floor. When reopening a sketch, check its active floor and name before drawing.
- Select Wall and draw a segment. Wall stays active so you can keep drawing segments without selecting it again.
- Choose Select / move, select each object, and open Selected object to enter its label, measured dimensions, and notes. Canvas position and grid spacing do not establish a field measurement.
- Add doors, windows, bypasses, equipment markers, and a compass as needed. Use Floor setup for additional levels.
- Choose Save sketch to select a Job and name, or Save now for an initialized Job sketch. Wait for the saved confirmation before leaving.
For a worked example, continue to 5.5. The next sections explain the editor’s controls, generated sketches, recovery, and outputs.
5.2 Open the editor: unsaved work or a Job
From Tools: Open Tools > Site Sketch. The work area identifies itself as Unsaved. You can experiment and draw before choosing a Job. To retain the sketch as shared saved work, use Save sketch and choose an authorized Job and a name.
From a Job: Open Jobs or Agency Jobs, select the correct address, then choose Site Sketch. The heading shows the Job/address context. A Job can hold multiple separately named sketches. When your account has edit permission, use Save now and check the save-status message; Job-mode edits may also trigger an online autosave after you have a named, initialized sketch.
Before drawing: Check the Job address, active floor, and whether an existing named sketch is open. The Files panel shows saved sketches for the selected Job. If you need a different sketch, open the appropriate saved one, or use Create another Site Sketch.
5.3 Recognize the parts of the screen
| Onscreen area or button | What it does |
|---|---|
| Site Sketch header | Identifies the editor and whether work belongs to a Job or is unsaved. |
| Save sketch / Save now | Starts the Job destination/name flow or explicitly saves the active Job-owned sketch. |
| Details | Opens sketch name (when applicable), assessor, assessment date, map context, and Job/property reference details. |
| Files / History & files | Shows saved sketches where applicable, device recovery, Undo, JSON transfer, and Clear sketch. |
| Print & export | On desktop, exports an image or print-ready PDF of the active floor or all floors. Hidden on tablet and mobile. |
| Selected object | Opens the selected item's label, measurement, notes, type, and other field metadata. It is unavailable until an object is selected. |
| Active floor / Floor setup | Changes floors and controls the floor template, grid size, naming, duplication, ordering, and removal. |
| Fit sketch / Fit page / Fit width / zoom | Adjusts the viewport so the sketch is easier to see; these are not measurement commands. |
| Drawing toolbar | Selects the editing or drawing action to use on the canvas. Some toolbar items require horizontal scrolling on smaller screens. |
| Status line | Shows the active tool/floor, object count, zoom, and selection information where supported by the layout. |
Choose a drawing tool to place new objects on the canvas. Use Select / move to inspect or move existing work, and Selected object to enter its details.
5.4 Drawing tools: what to select and how to use them
| Toolbar tool | Interaction | Appropriate field use |
|---|---|---|
| Select / move | Tap/click an existing item to select it; drag the selected item to move it or use its line handles to resize, where allowed. | Correct placement or open its field details without creating another item. |
| Pan | Drag the canvas view without drawing. | Navigate to another part of a larger sketch. |
| Wall | Drag from one endpoint to the other; the editor also supports a start-point/end-point tap sequence. | Document a wall segment or portion of the envelope. |
| Door | Draw a line across the intended opening using the same line-placement behavior. | Mark a door and enter its recorded size separately. |
| Window | Draw a line across the intended opening. | Mark a window and enter a measured opening size. |
| Unconditioned wall | Draw a line segment using the line tool. | Distinguish a wall relevant to an unconditioned area or zone. |
| Bypass | Tap/click to place a point marker. | Record an observed air-bypass location. The editor can assign letter codes A, B, C, etc. |
| Fan/HVAC | Tap/click to place a point marker. | Mark a fan, heating/cooling appliance, or water heater; name it accurately in the inspector. |
| Compass | Tap/click to place a north arrow; select it to adjust its direction. | Record building orientation based on field evidence. |
| Erase | Tap/click an object to delete it when deletion is allowed. | Remove an unintended object after checking that it is the right one. |
Keep drawing with the selected tool: Every drawing and placement tool stays active after placing an object. Choose another tool when you want to change actions, Select / move to edit existing work, or Pan to move the view. If a line tool has a pending first endpoint from a tap, complete the second endpoint or choose Select / move and tap the canvas to clear it. A tap directly on an existing line can select that object rather than create new geometry; for a wall extension, dragging from its endpoint is more predictable than assuming a tap is a new start point.
Mouse and touch: Line tools support dragging and placing endpoints with separate taps/clicks. Check the active tool before placing the next point. Use Pan to move the view; phones and tablets also support pinch zoom.
5.5 First complete example: sketch a simple building footprint
Training scenario only; not an actual client's site. Suppose you are documenting a rectangular, approximately 60 ft by 24 ft manufactured home with one front door, one rear door, four windows, a furnace location, and a north arrow.
- Open Site Sketch and confirm the active sketch/Job context. Set the floor through Floor setup if the default does not suit the visit.
- Select Wall and draw one visible side. Wall remains active.
- Add the remaining wall segments, using visually connected endpoints where appropriate.
- Choose Select / move, select the first wall, open Selected object, and enter a useful Map label such as
W1. In Measurement, enter60 ftfor this example and repeat for the other wall runs. On a field visit, enter the dimensions you measured. - Select Door and draw the two opening markers. Switch to Select / move, choose each door, and open Selected object to enter
D1orD2and its measured size, such as36 x 80 in. - Select Window once and draw each observed window. Switch to Select / move to select each one, then use Selected object to record
WIN1,WIN2, etc., with measured dimensions such as32 x 54 inwhere known. - Select Fan/HVAC, place a point near the observed furnace location, and name the marker so another technician knows what it represents. Add notes if the location or type needs follow-up.
- Select Compass and place a north arrow. Switch to Select / move, select the arrow, and set Compass rotation (degrees) using an observed orientation. The inspector specifies
0 = N up. - Review the overall sketch, the labels, and the actual recorded measurements. Reposition any misleading objects using Select / move or the nudge buttons in the inspector.
- Save the sketch to the correct Job, confirm the on-screen saved status, and reopen it from Files or the Job's saved work when practical.
Use clear labels and recorded measurements so another technician can follow the sketch.
5.6 Edit a selected item and record useful information
Choose Select / move, tap/click the object, and open Selected object. The inspector offers these fields:
| Field | What it means |
|---|---|
| Map label | Short identifying code such as W1, D1, WIN1, or FURNACE. |
| Measurement | Text-form field evidence such as 12 ft, 36 x 80 in, 48 sq in, R-49, or 110 CFM, subject to type-specific validation. |
| Compass rotation (degrees) | For a selected compass, a whole number from 0 to 359; zero means north points up on the drawing. |
| Notes | Supporting observations, repair context, unresolved details, or reminders. |
| Additional visible label | Optional text displayed with the item. |
| Move selected object | Small arrow-button nudges based on the current floor grid interval. |
| Type | Changes the selected item's object classification when supported. |
| Category | Optional organizational classification, including shell, bypass, mechanical, Health & Safety, or note. |
| Status | Optional field-work classification such as existing, repair, replace, seal, or verify. |
| Delete selected | Removes the selected object where allowed. |
The inspector starts with Map label and Measurement. Expand Notes and advanced details when you need notes, classification, or other object fields. For Wall and Unconditioned wall lengths, enter 34 or 34 ft; both record 34 feet. Openings use a width-by-height entry such as 36 x 80 in, and fans use a value such as 110 CFM. Follow the hint beside the selected object's field.
Choose Done to apply a valid edit and close the inspector. If the measurement is invalid, the inspector stays open with an inline message and retains your entry so you can correct it. Check the canvas label and save status after editing. Keep unknown measurements blank.
Measurements and geometry are separate. The Measurement field records the onsite dimension as a label. Select and move or resize the line to change its appearance on the canvas. Use the recorded measurement for the field dimension.
Working with generated objects: A draft object generated from Field Visit may remain editable. Review your changes whenever you generate an updated draft. Certain required generation notices are locked: you cannot delete, move, or edit them as ordinary drawing objects. Correct the source observation in Field Visit and generate again to address the notice.
5.7 Floors, templates, and grid settings
Open Floor setup to manage the active floor. Available templates are Foundation, 1st Floor, 2nd Floor, Attic, Finished Attic, Basement, and Additional Floor.
- Active floor: Switch which level you are viewing and editing. Objects belong to the active floor, so verify the current level before adding them.
- Floor template: Sets the floor's category for organizing the drawing.
- Grid size: Choose a 10-, 20-, 30-, or 40-unit grid. The grid is a snapping and layout aid, not an assertion that one cell equals a fixed number of feet.
- Add floor: Create another level when the documentation needs one.
- Rename: Give the active floor a meaningful, unique name.
- Duplicate: Copy the selected floor for further editing; inspect the copy rather than assuming another level is identical.
- Move earlier / Move later: Reorder floors in the sketch.
- Remove floor: Remove the active floor after the confirmation prompt. Removing a floor deletes its contents; the final remaining floor cannot be removed.
Example: A single-family home with a basement and an attic might need three distinct floors. A manufactured-home Job might need one main floor and a separate foundation/underfloor view when useful. Add only the floors you need for the building.
5.8 Move around without changing the drawing
Use Pan to move across the drawing, then switch to Select / move when you want to inspect an item. Fit sketch, Fit page, and Fit width adjust how much of the drawing is visible. The plus/minus controls change zoom and 100% resets it.
If a wall, window, or label appears to shift unexpectedly, first check whether you are using Select / move, Pan, or a drawing tool. Use Undo in Files if you made an unintended recent canvas change, and confirm the result before saving.
5.9 Save, reopen, revise, and make a second sketch
Unsaved mode: Select Save sketch, enter a descriptive name such as Existing conditions - initial visit, choose the correct existing Job or new-Job option, and confirm. A successful save keeps that sketch with the selected address. The displayed Unsaved state means the Job save has not been confirmed.
Job mode: Give the sketch a name in Details when prompted. Use Save now or watch the online save status for confirmation. Changes to an initialized named Job sketch can autosave, but the device's recovery copy is separate from successful server-side saving. A newer change may remain unsaved even after an earlier save succeeded.
To reopen: Open the Job, select Site Sketch, then use Files > Saved sketches, or open the specific sketch listed in the Job's saved results. The app may warn before replacing your current unsaved canvas changes.
To keep alternatives: Choose Create another Site Sketch in a Job rather than overwriting an unrelated named sketch. For example, keep Existing conditions and Proposed work as separate editable records. The Job can retain independent revisions of each.
Save conflict: If the Job or sketch changed elsewhere, a save can stop and ask you to reload. Preserve any unsaved field notes or export a copy before taking an action that would discard the current canvas. Do not force a newer server record to match an older screen.
5.10 Create a sketch from Field Visit
Site Sketch can also start from Field Visit evidence; you do not have to draw everything manually.
- Open the intended Job and its Field Visit.
- Enter the wall measurements, room information, and equipment observations you collected. Leave missing measurements unknown.
- In Field Visit Review, choose Generate Site Sketch (or the available linked Site Sketch action). You can open Site Sketch at an intermediate stage; Field Visit does not have to reach 100% for a draft.
- Choose to create a named sketch or to update an existing supported sketch, reviewing the offered destination carefully.
- Inspect the generated sketch and any unplaced items or required notices. Resolve missing measurements or observations in Field Visit where appropriate.
- Adjust editable placement or labels in Site Sketch, document any verification notes, and confirm a successful Job save.
Updating a generated sketch: The draft uses the observations available when it was generated. After changing Field Visit observations, generate an updated draft and check both its new content and your existing edits before saving.
5.11 Create a sketch from Assessment Check
The assessment route is independent of the Field Visit route.
- Run Assessment Check with supported assessment information.
- On the analysis page, under Continue the work, choose Generate Site Sketch.
- Read the Quick Site Sketch preview counts: recognized walls, segments ready to place, and walls left unplaced. The preview uses supported lengths and orientation and does not guess unsupported geometry.
- Inspect the temporary preview before choosing Open in Site Sketch. An unbound run can open an unsaved sketch; an assessment run already bound to a Job can offer a named Job sketch or explicit regeneration target.
- In the editor, verify the exterior footprint and manually add windows, doors, equipment, rooms, or other details as needed, then confirm the appropriate save state. Assessment-derived sketches do not populate or stage these items automatically.
Updating Job facts: Use Review Job updates to compare and accept assessment values into the Job. Drawing and saving the sketch is a separate action. Make official assessment corrections in your agency or state system.
5.12 Files, backups, and outputs
On desktop, use Print & export in the workspace action row to make an image or PDF. This action is hidden on tablet and mobile. Open Files (or History & files when outside a Job) for saved sketches, device recovery, Undo, JSON transfer, and Clear sketch:
| Action | What you get | How to use it |
|---|---|---|
| Saved sketches | Reopen an authorized named Job sketch. | Choose the sketch you want to continue; each named sketch remains separate. |
| Device recovery / Restore device recovery | A temporary working copy for this sketch on this device, when shown. | Restore here, then use Save sketch in unsaved Tools mode or Save now in Job mode. Confirm saved status before continuing on another device. |
| Undo | Reverses a recent edit in the current editor history. | Use it for canvas edits in this editor session. |
| Download JSON | A data file with the current sketch and its details. | Protect any property information in the file. To save to the Job separately, use Save sketch in unsaved Tools mode or Save now in Job mode. |
| Load JSON | In unsaved Tools mode, load a compatible sketch file. | For a Job-owned sketch, reopen it through Saved sketches instead. |
| Clear sketch | Clears the drawing after confirmation; the Job remains. | Check the selected sketch, generated content, and saved work before confirming. |
On desktop, in Print & export, choose Floors to include: Active floor or All floors, then select Export image or Print PDF. Check the resulting content, page layout, and labels before using the output in an official handoff. The print snapshot may display an estimated line length in grid units; those grid units are not a field-measured distance in feet. Record actual dimensions in the object Measurement field and the authorized assessment records. Printing does not save the current canvas to the Job; an image is a snapshot, not an editable sketch or proof of measured dimensions.
5.13 Common problems and what to check
| Problem | First checks |
|---|---|
| Clicking or tapping creates another wall when I only wanted to edit. | Check the active tool. Switch to Select / move before choosing existing geometry, or Pan before dragging the view. Finish or clear any pending line endpoint. |
| I cannot see the door/window/other toolbar button. | Scroll the horizontal drawing toolbar on a narrow screen. |
| My wall length looks wrong on the screen. | Verify the recorded Measurement in Selected object separately from the position and length of the canvas line; the grid is not a measured feet-per-square scale. |
| The object will not save its measurement. | Check the type-specific format and units, such as 36 x 80 in or 110 CFM, and correct unsupported values. |
| I cannot edit or delete a generated warning. | It may be a required generation notice. Update the source Field Visit observation, then regenerate. |
| A wall from an import is not drawn. | Look for unplaced/missing geometry in the Field Visit or Assessment Check preview. Do not invent length or orientation simply to force placement. |
| The wrong floor is showing. | Open Floor setup and inspect Active floor, or use the saved floor selector. |
| The image or printout shows only one level. | Check Floors to include and select All floors when required. |
| My edits disappeared or I am unsure they were saved. | Inspect the save-status message, correct Job/name, and saved-sketch list. Device recovery and image/JSON exports are not the same as server confirmation. |
| Save failed or says the Job changed. | The saved Job or sketch may have changed since you opened it. Preserve current notes, then reopen or reload as instructed; do not overwrite blindly. |
| The sketch changed after regenerating. | Compare the new source-derived draft with technician edits and required notices. Confirm that you chose the intended sketch and regeneration target. |
5.14 Use the sketch in your field record
Use the sketch to communicate the building layout, equipment locations, observed conditions, and proposed work. Keep its labels and measurements aligned with your field notes and include the required program documentation in the handoff.
5.15 Before you leave the sketch
Check that (1) the Job address and sketch name are correct; (2) you are on the intended floor; (3) all important wall/opening/equipment labels match the site; (4) entered measurements have verified units; (5) unknown or unplaced geometry is still identified as such; (6) the server save status is confirmed; and (7) any images, JSON files, or printed outputs are handled within your organization's recordkeeping rules.
6. Field Visit
Open in FieldScout: Open Field Visit · All Field Tools · Back to table of contents
Purpose: Walk through the home, record its conditions, and save the Field Visit within the address's Job. The Job holds this walkthrough alongside the address's other saved information and results. Export the walkthrough for your program records. Leave measurements you have not collected blank. Field Visit requires a Job; you can use the other tools without completing a visit.
National core: The Field Visit collection sequence is shared across supported housing types and jurisdictions. The official audit platform, state forms, handoff, and program-required checks are outside this common chapter.
6.1 Start at the correct address
- Open Field Visit. Choose Start at a new address at the top, or continue at a saved address below it.
- For a new Job, enter street address, city, ZIP code, and home type. Confirm the address and home type on the review dialog before selecting Confirm & Start Field Visit.
- Confirm assessor, assessment date, and the Job identity on Arrival before collecting measurements.
- Work through the eight named pages. Field Visit shows one stage at a time; use the stage navigation to return to earlier observations whenever you need to correct them. The Job address appears at the top of Field Visit; check it before recording observations.
Home-type check: Choose the type that describes the actual home so Field Visit can show the appropriate questions. Correct an incorrect selection before continuing.
6.2 The eight Field Visit stages
| Stage | Practical task | What to watch |
|---|---|---|
| Arrival | Confirm Job, assessor, visit date, and immediate safety context | A known immediate danger belongs in the stop-work path now. |
| Profile | Record conditioned area/volume, height, occupancy, construction age, exposure, and orientation when known | Identify measured versus field-document source where offered; blank means not collected. |
| Envelope | Record applicable attics, foundations, walls, openings, insulation, and housing-specific features | Add sections/components individually; do not invent missing dimensions. |
| Rooms | Collect room observations and applicable lighting, plumbing, and baseload information | Match labels to the area actually inspected. |
| Equipment | Enter heating, cooling, water heating, distribution, ventilation, appliances, and nameplate information | Keep distinct systems distinct; use equipment lookups for manufacture dates and model information. |
| Tests | Record diagnostic applicability, conditions, and measured readings | A missing reading is not zero and not proof of a passed test. |
| Safety | Record relevant combustion, electrical, moisture, material, occupant, and other safety observations | Follow the applicable agency escalation and safety procedures. |
| Review | Examine completeness, sync status, and available handoffs | Review unresolved work before a completed export. |
The navigation stages are common, but the detail beneath them is housing-family-specific. Site-built collection includes conventional assemblies, manufactured-home collection has dedicated construction/belly/roof pathways, and multifamily collection includes building, sampled-unit, and common-space considerations where applicable. Do not use one family's prompts as a substitute for another family's assessment requirements.
6.3 Record observations and measurements
Enter quantities with the actual units requested and preserve the observation source. For example, conditioned floor area from onsite measurement and a number copied from a prior field document have different evidentiary meaning. When a dimension is uncollected, leave it unknown; do not estimate it solely to increase readiness.
Check the displayed units and range beside each number field. Use the offered choices where available; choose Other — enter exact observation for an observation outside the suggestions. Keep an unusual measurement in notes if the field cannot accept it, and flag it for follow-up instead of changing the measured value.
Use consistent names for Wall 1, Window 2, Room A, or an equipment system so you can reconcile notes with the site sketch and outside program record. Capture nameplate manufacturer, model, and serial when visible and safe to do so. If equipment cannot be accessed, document the gap rather than substituting a model from another house.
In Profile, choose Walkthrough observations, Detailed energy-audit intake, or Weatherization Assistant field intake under Information needed for this visit. Detailed intake adds component reviews to the same completion tracker. Open each compact detail section where needed. Record the observation, then mark it Reviewed. In Detailed intake, if the receiving program does not need a detail review, choose Not required for this visit and give the reason. Not accessible stays open for follow-up. Weatherization Assistant intake requires applicable observations and also checks supported receiving choices, units, and component connections; resolve its onsite collection gaps before completing that scope. Receiving-software selections remain in the handoff for the office to finish.
Use Wall cavity details and Underbelly and insulation details to document inspected assemblies, insulation, condition, and access limits. In manufactured homes, review the center belly and side wings separately. Follow the displayed prompts and explain unavailable or inapplicable observations; do not open unsafe assemblies to complete a field.
Supported program prompts appear beside the relevant field section for your account’s jurisdiction. Follow the matching Guide supplement when available. Keep required photos in your agency’s system.
Record addition assemblies and openings separately from the manufactured home. For site-built homes, identify finished-attic areas and link skylights to their roof section. Select the systems served by each duct record. For a whole-building multifamily visit, reference the unit inspection plan and shared-system/common-area inventory.
Record Door seal condition separately for the refrigerator and freezer, with notes on wear or visible gaps. Keep each appliance's observations with that appliance.
In Equipment, use Nameplate efficiency ratings for the ratings printed on the equipment. In Tests, keep airflow readings with their test pressures and setup. Use the dedicated Duct leakage measurements for duct tests. Preserve the original units and distinguish measured zero from an uncollected reading.
Immediate danger: Arrival includes a shortcut to Safety. Stop normal work and follow governing emergency, combustion-safety, electrical, and agency procedures whenever a serious condition is encountered. The later completeness review cannot clear the hazard.
6.4 Autosave, device protection, and offline continuity
Working observations autosave to this Job. Use Save to Job with an item name to preserve a named Field Visit at that point in the walkthrough. Reopening that saved result shows its saved observations; continuing field collection uses the current working visit. Field Visit also provides a Sync now control. The Offline use and device protection disclosure can provide Download unsynced field notes and relevant recovery instructions.
If an entered number is invalid, Field Visit identifies the field and opens its detail section. Correct the entry, then confirm autosave or Sync now succeeds. You can save an unfinished visit with unknown measurements left blank.
Before leaving internet coverage, open the Job's Field Visit on the device and browser you will use. Wait for the device-protection and offline-reopening status messages to confirm readiness. Continue collecting in that prepared browser if coverage drops.
A device copy is separate from a successful Job save. Reconnect, select Sync now, and confirm synchronization before continuing on another device. Do not sign out or clear browser storage while notes still need to sync. If a conflict appears, preserve Download unsynced field notes before choosing an action that discards device changes.
Creating a Job, using server-dependent lookups, checking completion, generating a sketch, and exporting require internet. Prepare the visit online and reconnect for those steps.
6.5 Understand readiness and Review
Use the Field Visit Summary to review completion and follow-up for the selected visit scope. Follow each listed action, then sync and review the updated status. 100% means the required Field Visit collection checks are complete for that scope. Check your program's onsite requirements before leaving; completion does not establish that receiving software has every input it needs.
Before leaving the property, review missing or marked not applicable areas, diagnostic context, and safety observations. Use Open Site Sketch near the top or Generate Site Sketch in Review to start a draft from the information collected so far. You can do this before reaching 100%. Review its placed and unplaced items; missing measurements remain unknown.
6.6 Export and hand off the collected visit
When the required collection checks are complete, open Field Visit Export. Choose Print / save PDF, Download text, Download HPXML, or Download Weatherization JSON. Confirm that the handoff shows the intended visit and saved observations.
Use HPXML 5.0 with receiving software that supports that version and the information you need to transfer. Retain the PDF or text and compare it with the imported information; the receiving software may omit observations or require additional inputs. Confirm its import requirements before your field visit. Weatherization JSON organizes supported observations using published NEAT/MHEA field names and units, with unresolved transfers and the complete handoff alongside them. Confirm the receiving software’s import process and required program inputs; this file is an observation handoff. See source acknowledgments and license notices for the published resources used to supplement and improve FieldScout.
The export page can show a draft when collection is not complete and clearly identifies remaining tasks; it is not the completed field handoff. Do not present a draft as a finished visit.
A completed export gives an explicit choice to Keep Job or Delete Job permanently. Keeping it active allows Assessment Check and other connected work later. Assessment Check is not a prerequisite to Field Visit Export. Deleting a Job is irreversible within FieldScout; retain all required authorized files before making that choice.
6.7 Example: manufactured-home visit
A technician opens a Job for a manufactured home, confirms the chassis-based housing type, and records whole-building dimensions as measured where possible. In Envelope, the technician documents manufactured-home wall/roof/belly conditions and an addition only when present. In Equipment, they enter furnace and A/C nameplates separately, and in Tests, record actual readings or explicitly unresolved tests. An electrical hazard observed on arrival sends the technician directly to Safety before routine capture continues. The technician reviews completeness, syncs the Job, and generates a Site Sketch draft, then checks its layout, recorded dimensions, and unplaced items.
6.8 Before finishing the visit
- [ ] Correct Job address including ZIP code, home type, assessor, and visit date.
- [ ] Applicable envelope, equipment, room, test, and safety evidence recorded without guesswork.
- [ ] Program-required photos recorded; complete any photo prompts shown for this visit.
- [ ] Unknowns, not-applicable decisions, and safety escalations represented accurately.
- [ ] Sync now or autosave status confirms the latest work reached the Job.
- [ ] Draft sketch or Planning outputs reviewed independently if generated.
- [ ] Completed export printed or retained in the appropriate authorized program record when required.
- [ ] Job kept active unless permanent deletion is truly intended and authorized.
7. Assessment Check
Open in FieldScout: Launch Assessment Check · All Field Tools · Back to table of contents
Purpose: Paste a completed assessment, review recognized information and findings, and optionally compare supported observations with a Job. You can save the report, review proposed Job updates, or generate a Site Sketch from the available evidence.
The account's jurisdiction determines the accepted assessment and maintained checks. These shared steps apply nationally. Any additional jurisdiction instructions appear in the signed-in guide only for an eligible account.
7.1 Choose the appropriate jurisdiction guidance
Read the input label and help on your Assessment Check page. If it asks for an assessment export, paste that complete export. If it asks for labeled assessment values, use one field and value per line. A list of values and an official export are different inputs; use the format requested for your account.
Save to Job keeps a named report. Review Job updates lets you compare the assessment with the Job and choose which facts to accept.
7.2 Run Assessment Check
- Open Assessment Check from Tools or from the correct saved Job. It is available without starting Field Visit or requiring a Job.
- When opening from a Job, choose the named walkthrough under Review a saved Field Visit to review its collected evidence without pasting an assessment. Read the findings and any Not evaluated items; those still need attention.
- Paste the completed assessment requested by the page. There is one paste-and-check flow; you do not choose a separate national input mode. Missing measurements remain unknown. The paste field can be resized vertically; expand How Assessment Check works below the form if you need the workflow overview.
- Select Run Assessment Check. Read the analysis summary, recognized information, and any coverage warnings first.
- Open Assessment information to see what was recognized. If you opened the tool from a Job, inspect matched, Job-only, assessment-only, different, and unrecognized values. Without a Job, you can choose one later and compare before saving updates.
- Under Continue the work, choose the next action you need. These actions are independent:
| Action | Result |
|---|---|
| Generate Site Sketch | Previews supported exterior wall geometry. Review the footprint, then open Site Sketch to add details. Missing geometry stays unplaced. |
| Review Job updates / Continue as a Job | Starts a separate comparison and review before supported assessment values enter the chosen Job. |
To keep the report itself, use the result's Save to Job controls. It appears as a named item in Saved results. Saving the report does not accept its values as Job facts.
Review findings and their source references where offered. Check coverage warnings and any Not evaluated items before concluding your review; those identify information or checks that still need attention.
When reopening a saved report, run a new check if you need current Job comparisons or a new generated sketch. The saved report preserves the earlier result.
Official assessment record: Make source corrections and complete required approvals in your agency or state assessment system. Keep the authoritative export there, and run Assessment Check again when you want to review an updated export.
The saved-walkthrough review uses the named Field Visit you selected. Later edits to the Job or another saved result do not change that saved walkthrough. Save an updated Field Visit and select it when you want to review newer observations.
8. ScopeBook
Open in FieldScout: Launch ScopeBook · All Field Tools · Back to table of contents
Purpose: Find guidance for the work in front of you. Search an observed component or condition, check when an entry applies, and review its work guidance and official sources.
Jurisdiction-specific guidance: Use the ScopeBook available for your account's jurisdiction. Availability and content vary by jurisdiction.
8.1 Quick start
- Open Tools, then your [Jurisdiction] ScopeBook.
- Search for a component or condition, such as
bath fan, or choose Browse by work area. - Open a relevant entry and read Make the Call for applicability, stop conditions, and prerequisites.
- Read Scope It and Execute & Verify for the work and documentation relevant to the entry.
- Check Sources & Authority and any review warning before relying on the guidance.
- Use Save this reference if you want to keep the entry with a Job. Searching and reading do not require a Job.
8.2 Search or browse
Enter the observed component or condition under What are you working on?. Check a suggestion's title and Use when description before opening it. Describe what you observed instead of assuming a repair is appropriate.
Use Arrow Down and Arrow Up to move through suggestions, Enter to open the highlighted entry, and Escape to close the panel. On touch devices, tap the entry. Select See all results or submit Search ScopeBook without choosing a suggestion to see the fuller results.
Likely matches are suggestions with stronger evidence for your search; Related guidance includes other potentially useful entries. The live dropdown separates stronger matches from related guidance without treating either as work approval. On the full results page, these appear as likely entries and Broader related matches. Open any entry and confirm field conditions, safety notices, and official sources before relying on it. If your wording does not find the subject, try a more specific component, a familiar alternative name, or the exact entry ID if known.
Use Browse by work area when you know the general task but not its title. Read the short work-area description and entry count, choose an available category and family, then open the entry. Search all entries, Back to all categories, and the breadcrumbs help you move between them.
8.3 Read the entry
Confirm the entry's jurisdiction, subject, review status, and source edition. Use the entry's jump links to reach the part you need.
| Entry area | What to do |
|---|---|
| Make the Call | Confirm the field condition fits, resolve prerequisites, and follow applicable stop-work instructions. |
| Scope It | Review the proposed work and add the Job's actual quantities, locations, and constraints to your work record. |
| Execute & Verify | Read the available work, verification, and documentation guidance. Record the actual observations and results. |
| Related Work | Review connected subjects when another system or condition affects the task. |
| Sources & Authority | Open the cited official material and check the applicable document, edition, section, and page. |
Follow the governing program's procedures and approvals. For an immediate hazard, respond under emergency and agency procedures before consulting the app.
8.4 Review source notices
Needs source review means the flagged guidance still needs review before field reliance. Follow the notice and consult the controlling source or designated reviewer. A Retired entry is not current field instruction; open the current related entry when offered.
A review date and an entry version do not establish that a cited manual is the latest governing edition. Check the source's applicability to the actual program and work. Use the official manual for requirements that are not represented in an entry.
8.5 Save a reference to a Job
- Confirm the entry's jurisdiction and applicability, then open Save this reference and expand Save to Job.
- Enter an Item name, such as
Bath fan reference. - Select the Job address. Use Find another saved Job for an older address, or Save to new Job if no Job exists for that address. A new Job requires street address, city, ZIP code, and home type.
- Select Save and wait for the confirmation naming the Job.
- Reopen the named item from that Job's Saved results.
Opening the save controls does not save anything. A reference already attached to a Job keeps that Job as its destination.
A saved reference opens current ScopeBook content, not a copy frozen on the date you saved it. Keep the source edition and decision evidence in your authorized program record when historical documentation is required. Record the home's observations and completed work separately from the reference link.
8.6 Field example
For a bathroom fan question, search bath fan and choose the entry that fits the observed condition. Review its applicability, work guidance, related entries, and official sources. Record the actual observations and measurements in your work record, and save the reference to the address's Job if useful.
8.7 Common questions
| What you see | What to do |
|---|---|
| No suggestions or no likely entry | Submit the search, try the component or observed condition, or browse by work area. |
| A related title that does not fit | Check When to Use, then return to the results and choose a closer entry. |
| A missing section | Consult the governing manual and agency workflow for the information you need. |
| ScopeBook unavailable | Check availability for your account's jurisdiction or contact Support. |
| Save failed or the address is missing | Use Refresh addresses or Find another saved Job. If the Job changed, refresh and review the destination before retrying. Wait for save confirmation. |
| A saved reference looks different | It opens current content. Compare the current sources with any historical decision record you retained. |
This guide covers the digital ScopeBook; customer print editions are not currently offered. When consulting another printed reference, check its jurisdiction, edition, and current applicability.
Before leaving an entry, resolve relevant safety or source-review warnings, record the required observations and decisions, and confirm the destination of any saved reference.
9. WAP Chat
Open in FieldScout: Open WAP Chat · All Field Tools · Back to table of contents
Purpose: Get answers to Weatherization questions from the manuals and guidance for your account's jurisdiction, with source links and cited pages to read alongside the answer.
National tool, jurisdiction-specific guidance: Asking questions and reviewing citations use the same interface. Availability and the references used in answers depend on your account's jurisdiction.
9.1 Ask a useful field question
- Open WAP Chat from Field Tools. It is available when your account's jurisdiction has ready sources and Chat is enabled.
- Enter one specific question in Ask WAP Chat. Name the measure, condition, test, or source concept where relevant.
- Select Ask (or press Enter; Shift+Enter starts a new line).
- Read the answer, source links, and cited pages. If the answer identifies missing source information, follow up on that specific question in the governing manual or agency workflow.
- Use Answer feedback if you encounter a source mismatch or something that needs review.
Use ordinary field language, such as “What R-value is required for attic insulation?” or “What should I check before insulating an attic with possible knob-and-tube wiring?” Include the housing type or relevant condition when it changes the question. WAP Chat answers from your account's jurisdiction; naming another state does not switch its sources.
9.2 Apply the guidance to your field work
Match the answer's source, edition, cited page, housing type, and conditions to the work in front of you. Complete any required site checks and program approvals through your normal field workflow. Where the source conflicts with actual field conditions, pause and escalate under your agency's procedure.
Open the cited official source link and page when you need to read the guidance in context. A source may establish an insulation requirement without establishing the R-value actually installed in the home; record that site observation separately.
9.3 What availability notices mean
The page may show Preparing approved sources when a jurisdiction's reviewed source set is not ready; Chat off — sources ready when sources are ready but the feature has not been activated; or an availability unconfirmed message during a service issue. Read the notice for your jurisdiction and retry after a temporary service issue. Other tools may remain available.
9.4 Keep the guidance with your work
WAP Chat has no Save to Job action. Record any relevant verified decision and underlying field evidence in the agency's authorized Job and state/program documentation as required. Do not paste unrelated customer-identifying details into questions. Use ScopeBook when you need reviewed measure-oriented decision, scope, execution, verification, and documentation sections rather than a question-and-answer interaction.
10. Building Science Calculators
Open in FieldScout: Open Building Science Calculators · All Field Tools · Back to table of contents
Purpose: Calculate areas, volume, insulation quantities, air leakage, and equipment or diagnostic values from your measurements. Copy the field note or save a named result to a Job.
Available across jurisdictions: Use the same calculators and input workflows across FieldScout. Apply the resulting quantities within the requirements of your project and program.
10.1 Use any calculator
- Open Building Science Calculators and select a calculator from the grouped directory. Individual calculator pages also offer Back to all calculators.
- Review Required inputs and, if offered, Choose an input method. Provide measured values and the correct units; do not mix inches, feet, and square feet.
- Select Run calculator. If validation reports a problem, use the linked field name to correct it.
- Review Result values and the File note. Check Warnings, Assumptions, and Source and basis where shown before using the result.
- Use Copy note for the required field file or Save to Job for a named result, where available. A reopened saved result preserves the values saved at that time; use Edit inputs and rerun for a new scenario.
10.2 Choose the right calculator
| Calculator | Use it for | Interpretation check |
|---|---|---|
| Volume Calculator | Building or zone volume | Confirm dimensions reflect the actual conditioned boundary. |
| Attic and Knee Wall Area | Supported ceiling/attic/knee-wall/gable area methods | Select the matching geometry instead of forcing the wrong shape. |
| Insulation Depth Estimate | Approximate additional depth for a target R-value | Density, materials, existing insulation and installation criteria still matter. |
| Insulation Bag Counter | Loose-fill attic bag planning | Cross-check coverage with manufacturer and program directions. |
| Airflow Pressure Conversion | Convert a leakage-test airflow reading to a specified reference pressure | Follow the test procedure for the requested inputs and keep the original test record with the result. |
| CFM50 to ACH50 | Convert a blower-door reading and volume to ACH50 | Both CFM50 and volume must represent the intended building boundary. |
| Leakage Reduction Comparison | Compare baseline and final or target CFM50 | Use readings taken under compatible conditions. |
| R-value and U-factor Conversion | Convert between R-value and U-factor where appropriate | Assembly performance is not always a single material's label value. |
| Tons to BTU per Hour | Capacity unit conversion | Conversion does not size equipment or determine suitability. |
| Total External Static Pressure | Combine measured pressure readings (TESP) | Follow the tool's sign convention and measurement locations. |
| Pressure Pan Review | Organize pressure-pan locations and readings | A reading is diagnostic evidence, not an isolated pass/fail conclusion. |
Some calculators offer multiple input methods. Choose the method that matches your measurements and follow its field labels and units.
10.3 Examples of sensible use
Pressure-conversion example: When your test procedure calls for a different reference pressure, enter the required test information and review the converted result. Retain the original reading and test conditions with your field note. A leakage-test result is separate from delivered ventilation. The result’s Source and basis identifies reused methods; source acknowledgments and license notices are available on About.
Air-leakage example: Enter a valid CFM50 test reading and conditioned volume in the CFM50-to-ACH50 tool. Confirm its units and record the result with the test conditions and volume source. If building volume came from unverified plans, identify that assumption.
Materials example: Use an attic-area method, then an insulation bag estimate. Record which dimensions were measured, check manufacturer coverage data, and retain the program's approved material specification with the estimate.
10.4 Saved results and troubleshooting
A calculator can be opened from Tools or from a Job with supported inputs already filled in. After calculating, expand Save to Job, name the result, choose the address, and save. Reopen it under that Job's Saved results. Copy note copies text to the clipboard; it does not save a Job result.
If a field will not validate, check its units, allowed range, sign, and selected input method. If you change the measurements, select Run calculator again before saving the new result.
11. HVAC Load Planning
Open in FieldScout: Open HVAC Load Planning · All Field Tools · Back to table of contents
Purpose: Compare current and proposed heating and cooling conditions, organize building and equipment measurements, and identify the next field actions for your load-planning work.
National planning workflow, jurisdiction-dependent authority: Context → Property → Evidence → Review is shared. Design conditions, source acceptance, requirements, and final sizing approval must be validated for the actual jurisdiction and program.
11.1 Follow the four-part planning workflow
- Context: Check the account jurisdiction and Job context. Opening from a Job may prefill supported property evidence; opening standalone lets you enter a scenario and later choose a Job for the result.
- Property: Review copied facts rather than assuming they are complete. If a Job fact conflicts with competing evidence, the corresponding Planning field may intentionally be left blank for review.
- Evidence: Work through current and proposed conditions, measurements, sources, assumptions, and limitations. Identify a value as measured, recorded, assumed, unknown, or not measured as appropriate; the visible field options vary.
- Review: Select Review planning evidence, then read the result, confidence, and next actions together.
The workbench's progress navigation links to Context → Property → Evidence → Review. The review identifies missing measurements and conflicting inputs so you can plan the next collection or verification step.
For field entry, open the evidence group you are recording and follow its labeled fields in order. The field cards use the available screen width and reflow on tablets and phones. HVAC Load Planning remains a separate tool from Ventilation Planning; use this workflow for current and proposed load evidence.
Follow the evidence prompts for the home's envelope, equipment, and test observations. Keep the original units, sources, and access limits with your measurements. Review prefilled information before using it in a planning decision.
For suggested observations, choose a starting option and add the requested location, condition, settings, or measured details in the adjoining input. Keep uninspected conditions unknown.
11.2 Interpret the review screen
Pay particular attention to Outcome, Confidence, Next field action, Missing or conflicting evidence, and Evidence details. Some situations return More evidence needed, Review required, Supported with limits, or a blocked result because source or method prerequisites have not been established. Unavailable totals are withheld rather than presented as zero.
If current and proposed scenarios are available, examine Scenario comparison and the evidence behind each. Reuse current geometry copies only the listed geometry quantities. Enter the proposed assemblies, leakage, ventilation, equipment, and source details separately.
11.3 Save your planning result
- After Review planning evidence, open the save controls and enter an Item name.
- If you started from Tools, choose an existing address or Save to new Job. Selecting a Job can load its recorded evidence and ask you to Review planning evidence again. Check those values before saving.
- For work already attached to a Job, confirm the address and choose Save named result to this Job.
- Confirm the save, then reopen the named item from the Job's Saved results. The saved report offers Print saved result and Export result data (JSON).
The saved report keeps the evaluated inputs and result from that run; reopening it does not recalculate them. Changing a value in Planning does not replace the Job's recorded property facts.
Worked use case: Compare a home's observed existing equipment and proposed conditioning strategy. If envelope data or local design conditions are missing, use Next field action to identify what to collect or verify, then review the completed scenario before making an equipment-sizing decision.
12. Ventilation Planning
Open in FieldScout: Open Ventilation Planning · All Field Tools · Back to table of contents
Purpose: Bring ventilation conditions, airflow measurements, local exhaust, moisture, source control, and safety observations into one planning review. Use the findings and next actions to plan the work and save the evaluated result to a Job.
National planning workflow, jurisdiction-dependent authority: The evidence/review experience is shared, but applicable ventilation standards, exceptions, source editions, and safety obligations depend on the actual program and jurisdiction.
12.1 Start with safety and context
- Open Ventilation Planning from Tools or an authorized Job.
- Review any immediate Stop and address the immediate concern message. Follow the governing emergency, combustion-safety, and agency response before normal planning resumes.
- Confirm jurisdiction and property context. A Job may supply supported prefilled values, which should be reviewed for currency and conflicts.
- Follow Context → Property → Evidence → Review. Enter known measurements and field conditions, distinguishing unknown or not-measured values from recorded zeros.
- Select Review planning evidence, then inspect the result's confidence, evidence summary, blocking conflicts, and next actions.
The Check immediate safety and health concerns section stays ahead of ordinary ventilation evidence. Stop for a reported active hazard and follow the applicable emergency, combustion-safety, and agency procedure before continuing. Open the other labeled sections as you record them; their field cards reflow to fit the screen. Ventilation Planning is a separate tool from HVAC Load Planning, with its own ventilation and safety evidence.
Follow the prompts for the installed system and measured operating airflow. Keep the test conditions with the reading. Blower-door airflow and duct leakage describe different tests; do not enter them as delivered ventilation.
For suggested observations, choose a starting option and add the requested location, condition, settings, or measured details in the adjoining input. Keep uninspected conditions unknown.
12.2 Understand your planning result
The review may report More evidence needed, Safety action required, Review required, or Supported with limits. Read the next action and any remaining limits. Unsupported totals remain unavailable; they are not zero. Measured zero is a known measured value, separate from a missing reading.
In Evidence details, review source/version information, assumptions, overrides, and missing or conflicting fields. Resolve flagged appliance hazards and obtain the missing ventilation source information before completing the affected planning decision.
12.3 Preserve the work and continue
After reviewing the result, open the save controls, enter an Item name, and select the Job address. If choosing a Job loads its recorded evidence, check the values and select Review planning evidence again before saving. Work already attached to a Job offers Save named result to this Job.
Reopen the named item from the Job's Saved results. Print saved result and Export result data (JSON) preserve the evaluated inputs, findings, and limitations. The saved version is not recalculated when reopened, and saving it does not replace the Job's recorded property facts.
Field example: During a manufactured-home assessment, an existing bath fan's flow is not measured and a combustion-safety concern is documented. Record the missing flow as not measured, preserve the hazard context, and follow the displayed Next field action and agency safety process. Do not enter an estimated flow to generate an apparently complete result.
13. Funding & Utility Braiding
Open in FieldScout: Open Funding & Utility Braiding · All Field Tools · Back to table of contents
Purpose: Find funding pathways, review utility and program requirements, and build a proposed split of retrofit costs. Keep the amounts, source references, and program contacts together in a worksheet you can save, copy, or print.
National worksheet, jurisdiction-specific programs: The shared worksheet uses the providers, measures, program terms, and source references for your account's jurisdiction.
13.1 Build a proposed worksheet
Open Reference links near the top to jump to Funding worksheet, Program reference, or Official sources.
- Open the funding tool. Confirm the jurisdiction and, if present, the bound Job context.
- Under Funding worksheet, where utility selectors are shown, make both the Electric utility and Gas utility selections. Choose No gas service when applicable or Not confirmed when you do not know the provider.
- Choose a Coverage pathway, then a Retrofit. Selected utility programs shows source-listed retrofit categories for those providers. Other local coverage options is a separate way to explore local programs. Read the listed requirements, sources, and coverage status; a listed category does not establish eligibility or available funding.
- Add another measure when needed. Enter each proposed cost and funding contribution. Enter 0 to indicate no contribution; leave an unknown amount blank.
- Review arithmetic totals. Select Copy worksheet, Print worksheet, or save a named worksheet to the authorized Job where offered.
- Confirm current source editions, available funds, signed agreements, measure restrictions, stacking permissions, and required approvals outside the worksheet before committing costs.
Enter amounts within the limits shown beside the fields. An input limit is not a program funding cap. A balanced worksheet confirms the arithmetic; eligibility and available funding still come from the program.
If you change the utilities or pathway, a previously selected retrofit may need to be selected again. Your notes and amounts stay on screen for review; check them against the new selection. An unlisted or unconfirmed utility remains a question for the program, not proof that assistance is unavailable.
13.2 Interpret program coverage
| Status | Meaning for the user |
|---|---|
| Listed program coverage | The maintained reference lists the measure as covered under stated conditions. Whether funds are currently available must be verified separately. |
| Not covered | The reference explicitly excludes the measure in that context. |
| Unknown — verify with program | Available references do not confirm the relevant measure/provider combination. |
Expand What the coverage labels mean beside the retrofit step if you need a reminder. Funding currently unavailable identifies a published funding closure; do not assign that program's funds while the closure applies. It does not turn an unknown measure into confirmed coverage.
Below the worksheet, expand Funding partners, How the funding can work together, Before committing the money, and Official sources to read the supporting guidance. Copying or printing includes that guidance even when those sections are closed. Check published closures and limits before allocating funds, and ask the listed program contacts about additional local incentives.
13.3 Saving and reopening
Saving is optional; you can build, copy, or print a worksheet without choosing a Job.
- Below the worksheet total, expand Save to Job.
- Enter an Item name, such as
Attic insulation funding. - Choose the Job address. Use Find another saved Job if the address is missing from the recent list, or Save to new Job if no Job exists for that address. A new Job requires street address, city, ZIP code, and home type. A worksheet opened from an existing Job keeps that Job as its destination.
- Select Save and wait for the confirmation naming the address. Opening the save controls alone does not save the worksheet.
A reopened saved worksheet displays the prior inputs while allowing review against current program guidance. Edits to a reopened worksheet remain unsaved until saved again. Printed copies must be handled under the agency's normal records process.
Field example: For a proposed attic insulation job, a utility incentive and WAP funds may be candidates. List the measure, read each candidate's requirements, leave unknown contributions blank, and check the proposed arithmetic. The agency or utility administrator must still verify eligibility, allowable costs, overlap restrictions, funding availability, and approval.
14. Troubleshooting: first checks
Back to table of contents · Open Field Tools · Open Jobs
Use this table to identify the first safe troubleshooting step. If a condition represents an immediate health-and-safety concern, follow applicable emergency and agency procedures first; it is not a normal software troubleshooting case.
| What you see | What to check first | Where to go next |
|---|---|---|
| A tool is missing or says unavailable | Availability for your account and jurisdiction; read the notice shown by the tool | Tools, ScopeBook, or WAP Chat |
| An expected Job is not in the recent list | Search by street/city; recent list is not all records | Jobs |
| A result is shown but missing from the Job | Named Save to Job confirmation and destination | The appropriate tool's saving section |
| Save says the Job changed | Preserve unsaved notes or an offered recovery copy first; then reopen the current Job and review the changes before retrying | Jobs |
| HVAC serial returns unknown, possible years, or review-required | Exact plate brand, equipment type, model, serial, and the result's limitations | HVAC Age |
| Appliance has a manufacture date but no annual kWh/year | Energy use requires the complete model; a manufacture date does not establish an energy rating | Refrigerator / Freezer |
| A sketch click places or moves the wrong object | Switch back to Select / move; inspect selected object and drawing mode | Site Sketch |
| Sketch changes survive on device but not in Job | Confirm Save now / Save sketch; device recovery is not an online save | Site Sketch |
| Field Visit is blocked at start | Choose/create the proper Job and verify housing family | Field Visit |
| Field Visit shows incomplete or unsynced items | Check applicable tasks and Sync now; preserve device recovery until confirmed | Field Visit |
| Field Visit export is a draft | Applicable onsite collection still needs review | Field Visit |
| Assessment Check reports disagreement | Open reviewed Job comparison; choose Keep Job or Use assessment explicitly | Assessment Check |
| An Assessment Check finding needs a source correction | FieldScout cannot change the official assessment; make the correction in your authorized assessment system and recheck the updated information if needed | Assessment Check |
| ScopeBook search finds no likely entry | Try a more specific component/condition/ScopeBook ID and browse related results | ScopeBook |
| ScopeBook entry says Needs source review or Retired | Do not treat it as settled current guidance; inspect status and related current entry | ScopeBook |
| WAP Chat says sources preparing or activation off | Read the availability notice; other tools can still be used while that jurisdiction's sources or Chat access are being prepared | WAP Chat |
| Calculator rejects numbers or reports a warning | Confirm required inputs, method, bounds, units, and assumptions | Calculators |
| Planning result withholds a total | Missing, conflicting, or unsupported evidence cannot be assumed to be zero | HVAC Planning or Ventilation |
| Funding has no retrofit choices | Make both utility selections; read any unconfirmed-provider notice or try Other local coverage options | Funding |
| Funding split balances but coverage is uncertain | Arithmetic is not program eligibility, funds availability, or approval | Funding |
When to request agency or technical support
Use the Support page when you need help. Report the tool name, current screen or step, exact message, approximate time, account jurisdiction, and whether you opened the tool from Tools or a Job. Describe what you selected and what happened. Keep passwords, setup links, and household information out of the message.
Safe recovery habits
If a save is uncertain, check the named item in the Job before attempting another save that might duplicate work. Preserve any Download unsynced field notes or device-recovery material before clearing a browser. If the software's decision and the on-site condition disagree, preserve both observations, return to the relevant reviewed workflow, and do not hide uncertainty to obtain a completed status.
Verify official sources, site conditions and program requirements.
